Position Summary
The Administrative Assistant will help support our operations management team with specific planning, communication, data entry, processing paperwork and support customer deliveries for a dedicated logistics account. The Administrative Assistant will also follow up and resolve any issues or inquiries assigned to their area of responsibility. To be successful the selected candidate must be able to multitask and constructively interact with the customer, co-workers and the delivery drivers while adhering to maintaining proper DOT compliance and world class service support.
Maintain Customer Relations including:
· Communication with existing/new customers to ensure proper service support.
· Report delivery performance activity in real-time during business hours.
· Resolve and properly report/communicate any issues that would impact service.
Utilization of Logistics Management Software including:
· Order entry of shipments into current Dispatch system (TMW)
· Monitoring delivery status and communicating to the customers any/all updates
· On Board Communication units (People-Net).
· Maintain Customer Profiles, requirements and location directions in the TMW System.
· Notation and communication of special items or issues
Competencies
· Proven problem solving skills.
· Proven success at keeping multiple projects all moving forward concurrently.
· Demonstrated success in customer service required, with data entry
· Demonstrated competency with basic computer software.
Qualifications:
· Must have strong written and verbal communication skills.
· Excellent organizational skills, ability to manage and prioritize multiple tasks in an efficient manner and the ability to work in a fast-paced environment where change is a constant event.
· Must have excellent computer skills, including Word, Excel, Outlook and comparable dispatch software/screens.
· Must be able to manage processes efficiently and have good follow up skills, time management, a sense of urgency and able to apply a strong attention to detail.
· Scope of work is currently Monday through Friday. Hourly pay. However due to holiday/shipping changes by our customer, applicant must have flexible work schedule if required during these work days.
